A recent project provided support for a Fortune 100 international telecommunications provider transitioning from a commercial Vendor Management System (VMS) to an internally developed platform for managing their contingent IT workforce. The company recognized the necessity for substantial implementation support, including the creation of documentation, training materials, marketing collateral, and communication strategies to complement the tool's development and ensure a smooth transition for all involved parties. Due to the lack of internal resources and expertise, and the need for these activities to proceed concurrently with the tool's development, the Pinnacle Group team was sought to facilitate this complex transition.


The Challenge

A Fortune 100 international telecommunications provider recently undertook a project to migrate from a commercial VMS to an internally developed platform that manages their contingent workforce populations.  During the development process the client identified the need for implementation support including documentation, training materials, marketing materials, and communications support.  Beyond lacking the internal bandwidth and expertise, these activities needed to take place in tandem with the development of the tool to ensure a seamless transition for all stakeholders.


HOW WE HELPED

To aid in the internal VMS product launch, we developed a comprehensive plan to address each key stakeholder’s needs, which included executive leadership, human resources, hiring managers, and suppliers.  By identifying the target groups, we ensured the overall rollout of the platform was as seamless as possible while providing a comprehensive approach to communication surrounding key dates, messaging, and trainings for each group – all correlated to platform development milestones.

One key aspect of the project was the ability for the various audiences to have access to on-demand training, especially given the distributed nature of the global supplier base.  To accomplish this, documentation and training materials were created for processes for each audience using the system across a variety of mediums including print, knowledge base, and video.  Additionally, the multi-medium approach was created in a way that the internal team can quickly and easily update – all completely aligned with the clients’ brand standards. 

Deep collaboration with the client and integration with their internal systems and technologies ensured compliance with sensitive data, adhering to their policies and procedures while enhancing the overall impact of the project.

To support a successful launch and ensure communications with key stakeholders were as impactful as possible, we provided strategic marketing and communications support throughout the project.  Creative and communication support encompassed multiple mediums and platforms, including copywriting, email design and communications, landing page design, SharePoint page implementation, 1-pager design, presentation design, and motion graphics / video editing.
